About Perfex – Powerful Open Source CRM 2.8.4

Perfex CRM is a standalone web application, written in PHP and sold on CodeCanyon, that small agencies and service businesses install on their own hosting. It covers the day-to-day business side: leads and customers, projects and tasks, estimates, proposals and invoices, expenses, contracts and a support ticket desk, with a portal where clients can log in to see their own invoices, projects and tickets.

Despite older listings that call it a WordPress plugin, it is not one. It has its own installer, database and login, and it doesn't go into the WordPress Plugins screen. You can run it beside a WordPress site, for example on a subdomain, but the two stay separate. The file on record is version 2.8.4 and dates from September 2020, so test it on your current PHP setup before moving real customer data into it.

Requirements

  • PHP web hosting with a MySQL database (check the documentation in the package for exact versions)

How to install Perfex – Powerful Open Source CRM 2.8.4

Notes for this product

  • This is a standalone app, not a WordPress plugin. Upload it to its own folder or subdomain, not into wp-content.
  • Perfex relies on a cron job for reminders, recurring invoices and email fetching; set it up right after installing.

Setup: using Perfex – Powerful Open Source CRM 2.8.4

  1. Create a database. In your hosting panel, create an empty MySQL database and a user with full rights on it.
  2. Upload the files. Upload the application files to the domain, subdomain or folder where the CRM will live.
  3. Run the web installer. Open the site in a browser and follow the installer, entering the database details and creating the admin account.
  4. Add the cron job. Add the cron command shown in the CRM's settings to your server so scheduled tasks run.
  5. Configure company and email. Enter your company details, invoice settings and SMTP email settings, then send a test email.
  6. Add a client and an invoice. Create a test customer, raise an invoice and check it in the client portal before going live.

Common problems and fixes

Recurring invoices, reminders or scheduled emails never go out
Why it happens
The cron job isn't set up or isn't running.
How to fix it
Add the cron command from the CRM's cron settings to your server and confirm the last run time updates.
Emails from the CRM don't arrive
Why it happens
Mail settings are missing or the host blocks PHP mail.
How to fix it
Enter SMTP details from your email provider in the email settings and use the test email option.
Pages other than the login return 404 errors
Why it happens
URL rewriting isn't working, often because the .htaccess file wasn't uploaded or mod_rewrite is off.
How to fix it
Make sure the .htaccess file from the package is in place and that rewriting is enabled on the server.
